1. Who is responsible

Nova Sport SRL, Brussels, Belgium, is the data controller for the data collected on this website. For apps operated on behalf of a partner institution (a university, company or municipality), that institution is the data controller for its members’ data and Nova Sport acts as processor under a data processing agreement.

2. Data we collect

Depending on how you use our services, we collect:

• Website contact form: name, e-mail address, organisation, type of organisation and your message.
• App account: name, e-mail address, institution, member type, date of birth and optional profile information such as a photo or favourite sports.
• Usage: bookings, waiting-list entries, attendance recorded by QR check-in, cancellations, messages exchanged with coaches and other members, survey answers.
• Technical: device type, operating system, app version, push notification token, IP address and approximate location derived from it, crash reports.
• Payments, where offered: handled by our payment provider; we never store full card details.

3. Why we process it

We process data to provide the service (bookings, check-in, messaging, notifications), to let institutions manage their sports programme, to answer your requests, to secure and improve the platform, and to comply with legal obligations. The legal bases are the performance of a contract, our legitimate interest in running and improving the service, your consent where required (for example push notifications), and legal obligations.

4. Who receives the data

Administrators of your institution see the data needed to run their programme (bookings, attendance, member type). Coaches see the participants of their own sessions. We use carefully selected processors hosted in the European Union or offering adequate safeguards: cloud hosting and database, e-mail delivery, push notification delivery and crash reporting. We never sell personal data.

5. How long we keep it

Account data is kept while your account is active and deleted within 12 months of its closure, unless a longer retention is required by law. Booking and attendance history may be kept in anonymised form for statistics. Contact form messages are kept for 24 months.

6. Your rights

You can access, correct, export or delete your data, object to or restrict processing, and withdraw consent at any time. In the app, you can delete your account from the settings. For other requests, contact us at the address below. You may also lodge a complaint with the Belgian Data Protection Authority (APD/GBA).

7. Cookies

This website uses only technically necessary cookies and no third-party advertising trackers. Anonymous, cookie-free analytics may be used to measure traffic.

8. Changes

We may update this policy from time to time. The date at the top indicates the latest version. Significant changes will be announced in the app or on this website.
